Administrative Assistant, Human Resources

Provide administrative and operational support to the VP of Distribution and Senior Director of Human Resources. As a member of the HUGO BOSS Distribution and Human Resources team, the Administrative Assistant will also provide human resources administrative support including processing employee personnel action forms, filing accident/incident reports, and maintaining employee files. In addition, maintaining the flow of operations for communication, meeting scheduling and organization, and correspondence for the Vice President or Distribution.

 

What you can expect:

VP of Distribution

  • Gather production and other data (i.e. UPH reporting from supervisors).
  • Create and maintain Microsoft Excel Spreadsheets and reports.
  • Draft and Prepare of memos and communication for Distribution staff.
  • Monitor calendar and scheduling meetings as required.
  • Assist with coordination of employee events (quarterly meetings, picnics, Holiday parties, etc.).
  • Completing expense reports and book domestic and international travel.

 

Human Resources

  • Monitor and report employee call-ins (late, absences information taken from general voicemail box).
  • Process Personnel Action Forms (PAFs) and maintain communication with HRIS/Benefits team.
  • Assisting with on-boarding process for general warehouse employees and temporary workforce.
  • Assisting with Work Accident/Incident reporting process and liaison with 3rd Party Worker Compensation vendor, CHUBB, and internal benefits department.
  • Assists with maintenance of employee files and general workflow of employee life-cycle process.
  • Assists with maintaining Quarterly Productivity / Bonus tracker for general warehouse employees.
  • Process unemployment claims and employment verification letters
  • Other ad hoc projects/reports  

Your profile:

  • Proficient in Microsoft Office 2013 (Word, Excel, PowerPoint, etc.) and E-Time
  • 4+ years of administrative experience.
  • Strong verbal and written communication skills.
  • Excellent time-management and organization skills.
